Job Description


The Procurement Officer plays a critical role in ensuring that the  facility obtains goods and services of the right quality, at the right price, and in a timely manner, contributing to the overall success of our business.

The officer will be  responsible for sourcing and evaluating suppliers, products, and services, and ensuring that approved purchases are cost-efficient and of high quality. He/she will also be required to maintain positive supplier relations, and as well as accurate records.

Key Responsibilities:

1. Sourcing and Vendor Management:

  •  Identify potential suppliers and evaluate their products and services.
  • Negotiate terms and conditions with vendors to secure advantageous agreements.
  •  Build and maintain strong relationships with suppliers.

2. Purchase Planning:

  • Collaborate with various departments to understand their procurement needs.
  • Develop and implement procurement strategies based on organizational requirements.
  • Ensure that procurement activities align with company’s procurement policies and procedures

3. Request for Quotes (RFQ):

  • Prepare and manage the RFQ processes.
  • Evaluate and analyze quotations  to make informed decisions.
  • Collaborate with relevant stakeholders to ensure their input in the selection process.

4. Contract Management:

  • Ensure compliance with contractual terms and conditions.
  • Monitor supplier performance and address any issues that may arise.

5. Cost Control and Budgeting:

  • Contribute to the budget preparation process by effective demand planning
  • Monitor and control procurement-related costs.
  • Work within budgetary constraints and seek cost-saving opportunities.

6. Record Keeping:

  • Maintain accurate and up-to-date records of procurement activities.
  • Generate weekly reports to provide insights into procurement performance.

7. Risk Management:

  • Identify and assess potential risks associated with procurement activities.
  • Develop strategies to mitigate risks and ensure continuity of supply.

8. Market Research:

  • Stay informed about market trends, pricing, and new products.
  • Provide insights and recommendations based on market analysis.

9. Communication and Collaboration:

  • Evaluate and improve procurement processes for efficiency and effectiveness.
  • Stay updated on best practices in procurement and supply chain management.

Requirements

1. Degree or Diploma, from a recognized institution ,in Procurement, accounting, business management or a similar field preferred.

2. Two (2+) years of experience as a procurement officer or in a similar position.

3. Proficiency in Microsoft Office and purchasing software.

4. Strong communication and negotiation skills.

5. Good analytical and strategic thinking skills.

6. Supervisory and management experience.

7. Attention to detail.
