About This Role

  • To support with the implementation, administration and evaluation of employee relations policies and guidelines at the workplace to foster positive relationships and working conditions that balance the needs of both employer and employees.
  • To oversee benefits and retirement programs, including healthcare, life insurance, workers’ compensation, pension plans, and wellness programs.

In This Role You Will

Human Resource Administration

  • Act as the first point of contact and respond to employee inquiries and issues related to HR policies and procedures.
  • Ensure timely processing of all payroll related requests in Accra.
  • Assist with the coordination and communication of all organizational changes (promotions and transfers etc.) in Accra as applicable.
  • Support with recruitment, selection and onboarding process as required.
  • Maintain accurate employee records, including personnel files, HRIS data, and other People-related documentation.
  • Manage employee relations matters, including investigating and resolving employee grievances and conflicts.
  • Participate in disciplinary committee meetings and complete detailed and accurate notes of all proceedings.

Employee/Labour Relations Support

  • Assist with the maintenance of industrial discipline in accordance with policy and ensuring fairness in the administration of benefits.
  • Assist line managers in handling employee/Industrial Relation problems where appropriate.
  • Be responsible for up-to-date reporting of employee relations activities and trends as well as all documentation in relation to various departments’ employee relations issues.
  • Draft communication materials to the organization in support of the terms and conditions of work as defined in Collective Agreements (CAs) and employment contracts.
  • Draft responses to industrial relations issues such as employee complaints, harassment allegations, and/or other actions as assigned.
  • Be responsible for regional union communications including communications from the National Union leadership.
  • Participate in contract negotiations with Operators and Maintainers and Professional staff as a recorder of the standard negotiating committee (SNC) and assist in the implementation of outcomes.
  • Maintain and update all case files related to employees’ litigation, ensuring that the disciplinary and grievance procedures are followed consistently across all locations.

Benefits Administration

  • Assist in the management and integration of employee benefits administration in line with People policies and procedures.
  • Assist with the management and reporting of the pension schemes.
    • Ensure that all pension enrollments are correct in both the HRIS and with the Administrator
    • Promptly act on investment instructions
    • Manage member claims to ensure timely payment
    • Respond to benefits inquiries from Site People, managers and employees on enrollments, claims and other general inquiries
  • Support the administration of health benefits in accordance with the Managed Care Scheme, including the review and validation of employees and their dependents.
  • Process and administer all centralized employee benefits and perks including insurance claims, vehicle loans, fuel, detergents, etc.
  • Administer the dependent bursary program.
  • Support the analysis of employee benefits by assessing their utilization, services offered, coverage extent, effectiveness, and associated costs, to inform decision-making
  • Support the training and development of employees on benefit options and changes.

Your Training, Skills And Experience Checklist

Formal Qualification (including Professional Registrations):

  • A minimum of a Bachelor’s degree in Human Resources, Business Administration or related discipline.

Additional Knowledge

  • An MBA with HR Bias is an added advantage.

Experience

  • At least 5 years of Human Resources/Industrial Relations experience preferably in the mining industry.

Technical Skills

  • Strong knowledge of HR best practices, labor laws, regulations, and industry-specific labor practices in Ghana’s mining sector.
  • In-depth understanding of industrial relations including contract administration, grievance handling, conflict resolution, excellent mediation skills and management of cultural diversity.
  • Effective communication (written and verbal) and interpersonal skills across all employee levels and stakeholders.
  • Ability to build and maintain positive relationships with management, employees, labor unions, and other stakeholders.
  • Ability to manage employee benefits such as health insurance, retirement plans, and leave policies.
  • Strong computer literacy skills – MS Office (Word, Excel, PowerPoint and Outlook and HRIS System capabilities).
  • High sense of responsibility, confidentiality and security
  • Strong planning, organizing and prioritizing skills.
