Job Description

CrossBoundary Energy is hiring an Office Manager to support operations of our Ghana office. This is an in-office role that will involve managing our local office in Ghana, ensuring smooth day-to-day office procedures, liaising with vendors and landlords, and overseeing resolution of any facilities issues at the team’s current coworking location. This person will also fulfill corporate administrative duties such as delivering certified documents and leading correspondence between CrossBoundary Energy, regulators and relevant industry groups. The ideal candidate should have excellent oral and written communication skills, be comfortable collaborating both virtually and in-person, and be adept at organizing their work using software tools such as Microsoft Excel. The Office Manager will report to the Regional Admin Manager and the local Head of Office.

Required Qualifications

  • Proven work experience as an Administrative Officer, Administrator or similar role
  • Proven ability to work in a fast-paced environment and stay calm under pressure
  • Solid knowledge of best-practice office management procedures
  • Proficiency in the use of Microsoft Office software
  • Strong organizational skills
  • Excellent written and verbal communication skills
  • Attentive to detail
  • Ability to assess and independently propose solutions to problems that arise
  • Excellent time management skills

Primary Responsibilities

  • Oversee daily operations of CrossBoundary Energy’s local office in Accra
  • Proactively manage office space, identifying potential problems with people or facilities before they become disruptive
  • Represent the company in correspondence with the Energy Commission and other local regulatory agencies, to ensure continued compliance with local regulations Has a bias to action; comfortable acting with minimal direction to meet staff needs within budget
  • Manages inventory of office supplies and places replenishment orders
  • Oversees consistent operation of electricity, water, internet, and other utilities services
  • Troubleshoots operation of shared office equipment such as conferencing devices or printers
  • Serves as the point of contact for administrative communications and ensures all enquiries – email, phone and in person – are attended to promptly; routes necessary information to the appropriate parties
  • Oversees facility services, maintenance activities, and tradespersons (e.g. electricians, contractors, cleaners) alongside coworking space management as needed
  • Establishes and manages relationships with local suppliers and vendors
  • Organizes logistics of office social activities and events
  • Distributes and stores incoming letters, emails, and packages
  • Provides general support to visitors
  • Maintains physical and electronic filing systems for confidential company documents as directed
  • Implements office policies on health & safety, IT, and security, updating as needed for the local context
  • Other administrative duties as assigned by Head of Office
