Job Description
A reputable Financial institution (non-bank) is seeking to recruit suitably qualified persons for the position of Head, Transport Unit who will report to the Head, Risk & Quality Assurance
Job Objective
• To direct, coordinate, plan and oversee the daily operations of the transport unit, servicing vehicles, managing the company’s fleet and drivers effectively
Duties and Responsibilities
• Responsible for the day-to-day general administration of the unit
• Provide inputs for the formulation of transport policies for the company and oversee its implementation
• Manage the operational processes to ensure compliance with the relevant laws and management systems
• Maintain company’s fleet of vehicles by ensuring that they are in good condition / roadworthy
• Operate a planned preventive maintenance system and coordinate with external bodies on transport issues (including handling any Police Service issues regarding the company’s fleet and ensuring vehicle registration and renewal of relevant documents
• Provide technical advice and guidelines on the acqusition, distribution, maintenance, utilization and disposal of vehicle fleet of the company
• Prepare the maintenance schedule for the company’s fleet and ensure its strict execution
• Pay regular visits to garages to ensure the company enjoys the right services from the garages
• Vet and negotiable invoices from garages and make follow-ups on repairs and settlement of indents
• Prepare a work plan and budget for the transport unit
• Liaise with other office heads, where drivers have been specifically assigned to plan, organize, coordinate and evaluate the work of drivers
• Give proper orientation to relieving/temporary drivers to enable them to appreciate the code of conduct for drivers
• Recommend training programs for drivers
• Test-drive official vehicles to authenticate reported defects by drivers and do same after repairs to confirm all defects reported are properly resolved
• Prepare indents after ascertaining defects are resolved
• Make follow-ups on repairs and settlement indents
• To be in constant touch with the Chief Driver to inspect and report on the condition of the company’s fleet (including official vehicles driven by staff)
• Prepare periodic reports on the operations of the transport unit
• Perform any other tasks/duties that may be assigned by management
Qualification Required & Experience
• A good First Degree in Mechanical Engineering with a minimum of 3 years working experience or city and guilds full technical certificate (Motor Vehicles) with a minimum of 4 years satisfactory post-qualification experience
• HND Mechanical Engineering (Automobile Engineering Option) with a minimum of 4 years working experience
• Any certificate in transport management will be an added advantage
Skills / Competencies
• Good knowledge in Road Traffic Act 2004 (Act 683) and regulations
• Good knowledge in relevant Road vehicle standards
• Good leadership, networking and monitoring skills
• Good negotiation and advocacy skills
• Effective communication, interpersonal and presentation skills
• Ability to coordinate work across different geographical locations
• Knowledge in administrative procedures
• Report writing skills
• Knowledge in Defensive driving and changing technology in transport management
• Proficient in Microsoft Office suite or related field software
