Job Description


PRIMARY JOB PURPOSE

The Cost and Payables Supervisor is responsible for the overseeing accounts payable functions, cost management and help in financial reporting to ensure efficient financial operations. This role involves monitoring production costs, improving cost-efficiency, timely and accurate processing of invoices and reconciliations and ensuring compliance to company policies and financial regulations.

 

MAIN RESPONSIBILITIES/DUTIES:

Without limiting the generality of the foregoing, the main responsibilities are:

  • Oversees the creation and registration of vendors/suppliers accounts for both Local and Foreign suppliers in the NAV system.
  • Oversees the timely processing and verification of invoices for approval and payment.
  • Ensure Vendors/Suppliers database are up to date and reflect the current details of the vendors.
  • Flag and seek clarification on any questionable and unusual documents, invoices and prices from Vendors.
  • Review all Purchase Order (POs) for both APIs and NPIs in the system for accuracy, compliance and completeness of transactions – (Fully, partial receipt of goods and services are by invoices, goods received notes, waybills, and the right exchange rates).
  • Ensure a good working relationship with vendors, resolve payment discrepancies, disputes and reconciliations.
  • Prepare and review accounts payable reports for accuracy and completeness.
  • Implement and enforce accounts payable policies and procedures to ensure compliance.
  • Monitor and analyse company cost, including production, materials, labour and overheads.
  • Review cost structures and provide reports on cost variance.
  • Identify cost-saving opportunities and recommend efficiency improvement.
  • Maintain accurate cost accounting records and ensure data integrity.
  • Prepare and track product profitability analysis, prepare cost reports, variance analysis.
  • Assist in setting standard costs and updating approved databases in the system and manual.
  • Work closely with cross-functional teams to enhance cost efficiency
  • Assist in the training of newly engaged cost accounting staff.
  • Assist with audits by providing necessary documentation and explanation
  • Any other duties as may be reasonably assigned by your superiors.

KEY PERFORMANCE GOALS

  • Timely provision of monthly reconciliation reports
  • Quarterly product profitability analysis, cost reports and variance analysis
  • Monthly vendor ageing report

Minimum qualifications required:

Bachelor’s degree in Accounting, Finance, or related field

Minimum Experience Skills & Attributes Required:

  • 3-5 years of experience in accounts payable, cost control, or finance
  • Experience in manufacturing industry with significant cost management and payables processes.
  • Familiarity with ERP systems (Microsoft Dynamics NAV)

· Proficiency in Excel and accounting software.

· Analytical and problem-solving abilities.

· Leadership and team management skills.

· Attention to detail, integrity, and time management.

· Proactive mindset with process improvement focus.

· Strong communication and collaboration skills.
