Job Description
Job Summary
The Assistant Manager, institutional Reporting, supports the preparation, consolidation and submission of periodic institutional reports required by the Government of Ghana, funding agency and other stakeholders. This role involves ensuring the quality, consistency and accuracy of programmatic data and narrative information presented in official reports. The incumbent collaborates closely with the M&E team, project managers and implementing partners to gather, analyse and validate performance information in line with the organization’s results framework and reporting standards
Key Responsibilities
Institutional Reporting
• Coordinate the preparation of the organization’s quarterly and annual reports, including narrative and indicators tables
• Work with technical teams to gather updates on project activities, milestones and performance indicators
• Ensure timely submission of reports in line with funding agency and internal timelines
Data Validation and Quality Assurance
• Review and Verify data submitted by project teams and implementing partners for completeness and accuracy
• Ensure consistency between reported outputs/outcomes and M&E frameworks
• Support data triangulation efforts and track progress toward programme targets
Communication and Liaison
• Collaborate with Communications and Project implementation units to harmonize information for internal and external reporting
• Assist the Senior Manager, Monitoring in responding to the funding agency and stakeholder queries on reported data
• Ensure timely submission of reports in line with the funding agency and internal timelines
• Maintain a shared calendar and reporting schedule to track deadlines and deliverables
Documentation and Filling
• Maintain a secure and well-organized archive of submitted reports, data sources and validation records
• Develop and update institutional reporting templates, guidelines and checklists
• Support knowledge management by documenting lessons learned and best practices in reporting
Technical Support
• Assist in the generation of dashboard updates, performance briefs and presentations for internal meetings
• Provide technical assistance to staff and implementing partners on reporting tools and requirements
• Identify and escalate inconsistencies, gaps or issues requiring management attention
Qualification Required & Experience
• Bachelor’s Degree in Development Studies, Statistics, Public Policy, Communications or related field
• A Master’s degree in an advantage
• Minimum 10 years of professional experience, with at least 2 years in a reporting, monitoring or knowledge management role
• Experience with results-based reporting in donor-funded projects especially the world bank and similar agencies
Skills and competencies
• Strong analytical skills and attention to detail
• Excellent writing, editing and formatting skills
• Competence in Microsoft concepts, indicators and logical frameworks
• Ability to synthesize complex information int concise, reader-friendly formats
• Excellent interpersonal and team coordination skills
