Job Description
A reputable civil society organization based in Accra with branches in all regions and selected districts in Ghana is looking for experienced and motivated health professionals to implement a new project focusing on improving maternal and child health outcomes in six regions of Ghana (North East, Northern, Savannah, Upper East, Upper West and Western Regions): Administrative Officer
Job Summary
• Will be responsible for providing administrative support to the project team, ensuring office operations are efficient and aligned with the organization’s goals. This role requires an organized, proactive and detail-oriented individual who can handle multiple tasks and maintain smooth project operations
Duties and Responsibilities
• Support the administrative manager in the provision of administrative services to the project implementation
• Support the coordination and management of correspondence
• Support in the organization and coordination of meetings, ensuring the availability of the necessary information for the project management team (HQ)
• Take notes, prepare minutes and keep records of decisions, schedule appointments and where appropriate, manage the programme manager’s calendar and coordinate his or her itineraries
• Assist in scheduling the team’s travel arrangements
• Assist in maintaining the project team’s record of entitlements
• Support in the organization of events such as retreats and off-site meetings and handle all related logistics
• Support in filing, archiving and retrieval of records and documents for the project
Qualification Required & Experience
• Diploma in Business administration, management or a related field. A bachelor’s degree in administration or a related field is an advantage
• Minimum of 3 years of administrative experience, preferably within the health sector or in project management settings
Skills
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience in handling logistics and event planning
• Ability to work independently and as part of a team
