Job Description


The work force of TEMG is categorized into two groups; the Unionized and Non-unionized. The Unionized staff are represented by a local union (GTPCWU) with an affiliation with the T.U.C and the mainstay of the Union–Management relationship is the Collective Agreement (CA). There is a generally harmonious industrial environment, albeit with a few disagreements on pertinent issues from time to time. The Non-unionized staff are covered by a Management Terms and Condition of Service.

Activités

  • Abide by all Twelve Golden Rules concerning safety.
  • General Secretarial duties for the HRD
  • Screening and receiving calls for and on behalf of the Human Resource Manager and the Department.
  • Maintenance of an efficient filing, the staff records room and mailing system in the Department.
  • Maintenance of electronic the filing system.
  • Dispatching & tracking the Departments correspondences to the various departments within and outside of the Company
  • Arranging and organizing appointments for meetings, interviews, visitors for the department.
  • Managing Immigration processes & documentation for new expatriates, families and Young Graduates
  • Monitoring validity of work/residence permits and ensure their timely renewals
  • Residential & stay Management of Foreign Young Graduates while in Ghana
  • Liaising with the Treasury Division of the Finance Department to ensure that all payments due to third parties and staff are promptly paid.
  • Organizing departmental meetings in consultation with the Human Resource Manager.
  • Communicating recruitment related matters and coordinating induction programs for new recruits.
  • Ensuring confidentiality of HR information.
  • Reservation of hotels for company visitors, company training programs, staff from Area Offices, etc and prepare appropriate internal reports on same.
  • Assisting ERM with Coordinating Total (Gh) Health Plan in conjunction with the head office appointed insurance broker.
  • Reliever for Employee Relations Manager and Managing Director’s PA in their absence.
  • Assistant Inventory Stores Officer
  • Assistant secretary for Crisis Management Committee
  • Assist in catering for staff training and staff forum.
  • Ensure the smooth and efficient running of the department.
  • Perform all other lawful and reasonable tasks that the Human Resource Manager will delegate to the job holder from time to time.
  • Ensure that all relevant documents in the HRD are scanned and forwarded to the archiving unit to upload in Dexto
  • Responsible for retrieving all archived documents for the HRD (staff, ex-staff, etc..)

Profil du candidat

  • A good first degree (minimum Second Class) in a humanities-related field.
  • Strong English proficiency
  • Professional experience in providing secretarial support
  • Demonstrated capacity to maintain confidentiality of sensitive information
  • At least three years of relevant post-qualification experience in a comparable role are required.
  • Proficiency in computer usage is required.
