WSUP is a non-profit partnership between the private sector, NGOs and research institutions focused on solving the global problem of inadequate water and sanitation in low-income urban communities. WSUP brings lasting solutions to low-income areas by working in partnership with service providers, including water utilities, local authorities and businesses, and the communities they serve. WSUP strengthens the capacity of service providers to deliver sustainable city-wide water and sanitation services, promote good hygiene and raise the environmental standards of low-income communities.

From incorporation in 2005, WSUP has grown rapidly to a £10‐12m organisation and has plans for further expansion over the next five years. The organisation is now at a pivotal stage in its growth. It presently operates six well‐developed, respected country programmes in Africa and Asia (Bangladesh, Ghana, Kenya, Madagascar, Mozambique, Zambia) to strengthen public and private sector service providers to improve the delivery of affordable services to low income consumers WSUP has recently expanded its portfolio of operations to include the building and strengthening of private sector provision in urban water and sanitation services and the sale of consulting services on all aspects of low income urban WASH (Water, Sanitation and Hygiene) to disseminate learning and increase impact. All of these operations are supported by research, communications, funding and finance and resources teams.

Job Description

  • Job Title:  Administrative   Officer
  • Department: WSUP Ghana                    
  • Reporting to:  Ghana Country Programme Manager (Ghana CPM)
  • Duration: Full-time, fixed term contract for 24 months, ideally starting March 01, 2016
  • Location: Accra with frequent travel to Kumasi and potential for an international trip per annum.

Salary

WSUP offers competitive compensation package (gross monthly) from GHC1500.00to GHC 2500.00 based on relevant experience including other admissible organizational benefits like insurance, gratuity, bonus, leave encashment

 

 

 

 

JOB DESCRIPTION

 

 

Job Purpose

To act as principal point of administrative contact and liaison with internal and external offices providing specialist administrative services as appropriate for the implementation of WSUP programme activities in Accra and Kumasi operational areas, and contribute to the overall WSUP Ghana programme goal. The post-holder will directly work under the supervision of the Country Programme Manager.

Main Responsibilities

The Administrative Officer will carry out general administrative duties which include, but are not restricted to the following:

  1. Type correspondence, reports and other documents including all email-related correspondence.
  2. Planning and organisation of workshops and meetings including training courses where necessary and as directed by the CPM.
  3. Taking notes and minutes of meetings as directed by the CPM.
  4. Setting up and maintaining paper and electronic filing systems for WSUP Ghana.
  5. PR and media – prepare press releases on key WSUP activities and build relationships with the local media to secure coverage.
  6. Collate and organise interviews, case studies and quality photographs to highlight the impact of WSUP’s work in Ghana.
  7. WSUP brand – take responsibility for ensuring brand consistency across all internal and external communications produced by the Ghana WSUP office.
  8. Making travel and accommodation arrangements for WSUP staff and consultants as directed by the CPM.
  9. Liaise with WSUP London Secretariat staff on issues related to travel arrangements, payments, invoices, and the administrative tasks that Secretariat may assign with the consent of the CPM.
  10. Management of WSUP Ghana asset register
  11. Participate in WASH community activities as directed by CPM.
  12. Any other duties as assigned by the CPM.

Qualifications
ESSENTIAL:

  • First degree, diploma or similar qualification in business administration, journalism, public relations, development studies or social sciences (A) (I)

 

Desirable:

  • Further education related to office administration (A)
Experience
ESSENTIAL:

  • Experience in working with an international NGO in similar capacity. (A)
  • Extensive experience in providing direct administrative support and Personal Assistance services to a local representative in an international NGO. (A) (I)
  • Experience in performing PR and communication functions of an international NGO with diverse and high profile government, donor, and community stakeholders. (A) (I)
  • Proven record of performing logistical and coordinating procurements for functions of a similar organization with a large multicultural staff. (A) (I)
  • Excellent report-writing and minute- taking skills, as well as the ability to write quality press releases.  (A) (T)
Knowledge
ESSENTIAL: DESIRABLE:Experience in working with a market systems approach (I)
Skills
ESSENTIAL:

  • Strong Microsoft Excel and Word (A) (I)
  • Excellent written and spoken English and Twi to a professional standard (A) (I)
  • Strong ability to work under pressure and meet deadlines. Pragmatism and ability to use initiative when managing workloads. (A) (I)
  • Excellent relationship-building skills at all levels internally and externally (A) (I)
Other
ESSENTIAL:

  • Commitment to the vision and aims of Water & Sanitation for the Urban Poor. (A)
  • Willingness to travel overseas, generally for one or two week periods, once times a year (I)
