We are looking for a responsible administrative Assistant to perform clerical and administrative tasks in a well-organized and timely way. In this role, the job holder will need to act proactively and without guidance while understanding the needs and characteristics of customers and people she/he will work with.


  • Being a point of contact between the business unit manager, customers, executives, staff and managing information flow
  • Take orders from customers and prepare quotations where necessary upon direction of the executive
  • Conserves the executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains customer confidence and protects operations by keeping information confidential
  • Provides quality customer service and engage in telesales where necessary
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Oversee the performance of other clerical and administrative staff
  • Act as office manager by keeping up with office supply inventory
  • Take and handle customer queries and prepare quotations in a timely manner
  • Prepare information for internal and external communication-memos, emails, presentations, and reports
  • Manage and maintain all filling systems



  • A minimum degree in Business Administration with well proven experience in executive assistant role
  • Adequate knowledge of Microsoft suite and ERP system

  • Having worked in an expatriate working environment
  • Excellent written and verbal communication
  • Discretion and confidentiality
  • Have outstanding and organizational and time management skills
  • Must have at least two (2) years working experience in similar field.
  • A female preferred, not more than 35years by December, 2017.
