Job Description

  • Supervisor:    District Coordinator
  • Project:     Strengthening Partnerships, Results and Innovations Globally (SPRING)
  • Job Locations:    Applicant must apply for a position in one of the following districts which will be their post of assignment:  Bawku West, Bongo, Central Gonja, East Gonja, East Mamprusi, Garu Tempane, Gushiegu, Karaga, Kumbungu, Mion, Talensi, Tatale Sanguli, Tolon, Yendi, Zabzugu located in the Northern and Upper East Regions.

  • JSI has received funding from the United States Agency for International Development (USAID) to implement the Strengthening Partnerships, Results and Innovations in Nutrition Globally (SPRING) Project in northern Ghana to strengthen the treatment and preventive nutrition services in health facilities, and to oversee the implementation of specific tasks that strengthen community based nutrition improvements.

Job Summary

  • The District Finance and Administrative Assistant (DFAA) will provide administrative, logistical, and financial support to the District Coordinator and District Officer in his/her district.
  • 15 positions are available.
  • One DFAA will be based in each of the following districts: Bawku West, Bongo, Central Gonja, East Gonja, East Mamprusi, Garu Tempane, Gushiegu, Karaga, Kumbungu, Mion, Talensi, Tatale Sanguli, Tolon, Yendi, Zabzugu located in the Northern and Upper East Regions.

Major Duties and Responsibilities include, but are not limited to:

General Administration

  • Coordinate and ensure an appropriate District Office setup.
  • Supervise the District based security guard and cleaner if applicable.
  • Update the district office inventory register (document, tag additions) – monthly.
  • Supervise and track shared office equipment use (projectors, scanners, camera, moveable printers etc. by ensuring issue/return documentation).
  • Establish and keep in order a filing system for all project documents, including finance, procurement, HR, grants, and technical.

Finance

  • Report on district finance and administration activities, as well as participate in budget planning and tracking as instructed by District Coordinator.
  • In coordination with the District Coordinator, manage district financial transactions, for both District Office running and program activities, including payment to vendors, travel reimbursement for district staff, partner payments, request for funds transfer from the Tamale Office, preparation of bank reconciliation reports.
  • Maintain all necessary accounting records as appropriate and ensure they are acceptable for audit purposes.
  • Prepare monthly bank reconciliation.
  • Visit facilities to collect reports, event tracking forms, etc. as instructed by the District Coordinator.
  • Any other duties as may be assigned by the District Coordinator.

Support workshops, meetings and travel related to program activities in coordination with the District Coordinator

  • Plan, schedule and prepare meetings, workshops, monitoring visits, reviews, presentations with SPRING staff and partners.
  • Help prepare and disseminate workshop materials. Ensure availability of training/workshop materials and that logistics are in place in a timely manner including but not limited to invitations and attendance confirmation of participants, info packets to participants, monitoring checklists, weight cards, etc.
  • Ensure that participants, facilitators and project staff attending workshops, meetings, etc. complete registration formalities.
  • Ensure that payments to participants and facilitators during workshops, meetings, etc., are made according to SPRING policy and procedures.

Required Skills or Experience

  • Higher National Diploma (Finance or Accounting option) with 2 years’ work experience or BSc. (Finance or Accounting option) and have completed National Service. Or other relevant qualifications to the job.
  • At least 1 years of experience in financial management and USAID-funded projects.
  • Ability to work independently with minimum supervision in a multi-cultural environment.
  • Excellent written and verbal communication, analytical, decision making, problem solving and administrative skills.
  • Ability to juggle multiple assignments, meet deadlines, work flexibly in a dynamic, fast paced environment, and maintain sense of perspective.
  • Successful experience in similar jobs.
  • Required computer skills included MS Office (minimum Word, Excel and internet.).
  • Excellent organizational skills and attention to detail.
  • It requires a highly motivated individual with a strong customer service orientation and a demonstrated commitment to JSI’s organizational values, policies and procedures.
